Q: Does Noverant adhere to standard policies regarding confidentiality and privacy?

A: Yes. With its roots in the highly-regulated FDA market, Noverant's policies regarding confidentiality, username/password protection and privacy are more protective than those typically found in less regulated industries. Today, our user base includes large pharmaceutical companies, international law firms, Federal/State government, consulting firms, charter operators, flight schools and fixed base operators. In all cases, our confidentiality practices have passed all quality assurance inspections by our clients.

Q: Do I need to divulge my real name?

A: Yes. Most regulated training requirements, including 49 CFR 1552, explicitly require the name of the trainee on documentation, and so the records must be explicitly linked to an individual by name so that the certified transcript is linked to the specific individual. The use of an alias, fictitious name, or other misleading entry is strictly prohibited.

In addition, Noverant's training modules were designed, certified and copyright-protected as an integrated electronic training and verification system. Users are not authorized to complete any Noverant Aviation training module in any form other than through our web application. And so the individual's actual legal name is required for certification, and each individual is assigned a unique username.

Q: Can I still use the system if I don't have my own email address, or if I don't wish to disclose my own email?

A: Yes. The Noverant system utilizes email to notify users of critical training information such as new assignments, approaching deadlines and delinquent training reminders and so a valid email address is required for all users. A user can always logon the web-based system and check their training status at anytime, but typically users log on in response to their first new user email or in response to an automated email notice. And so a valid email address is indeed required.

Unique emails, while not required, are strongly encouraged for efficiency and individual accountability. For example, XYZ LLC could elect to have employee emails sent to one or more central mailboxes (e.g., pilots@xyz.com, line@xyz.com, dispatch@xyz.com). Note, however, that this "common mailbox" approach places the burden of employee notification on the individuals managing the incoming mail. For accountability and liability reasons, employers generally prefer that employees receive the emails directly where possible.

Noverant strongly advises the use of unique emails for each individual in your organization to the extent possible.

Q: What is 21 CFR Part 11?

A: 21 CFR 11 defines the requirements that must be met by compliance management products and services which utilize electronic records and electronic signatures. Defined originally for the FDA-markets, the application of 21 CFR 11 guidelines has become a government-standard in that it has been approved by other agencies, including the FAA, TSA, IRS, DOL and others in particular compliance management applications.

Q: I already took the TSA Initial Training. Why has it been assigned?

A: In order to be compliant with the Recurrent training requirement, you must first complete the Initial training defined by 49 CFR 1552. Noverant has no way of verifying completion of Initial training unless the user certifies such training has been completed.

For those who have already taken Initial training, simply e-sign the Initial training certification to verify completion, but you should also retain the hardcopy of the original source of training as well to verify the initial date of your training. Note that consolidating your records to electronic form will significantly reduce your workload in the event of a TSA inspection, since your Noverant-certified transcript will then demonstrate your completion of both Initial and Recurrent training elements of 49 CFR 1552.
